Job Description Summary
In this role, you will be providing administrative, secretarial support to Board of Directors, ensuring efficient management and seamless coordination within the CEO Office and other stakeholders. The role requires discretion, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Main Duties:

  • Manage the assigned Director’s calendar, schedule meetings, appointments, and travel arrangements.

  • Coordinate and prepare materials for board meetings, committee meetings, and other executive sessions.

  • Act as a liaison between the Director(s), CEO Office, board members, and external stakeholders.

  • Handle confidential information with utmost discretion and maintain strict confidentiality.

  • Draft, review, and manage correspondence, reports, presentations, and other documents as required.

  • Facilitate communication and follow-up on action items arising from meetings.

  • Organize logistics for meetings, including venue arrangements, technology setup, and catering if needed.

  • Assist with special projects and initiatives as assigned by the Director or CEO Office.

  • Maintain and update filing systems, records, and databases related to CEO Office.

  • Monitor and manage expenses and budgets related to the Director’s activities.

  • Minimum 5 - 10 years of relevant experience supporting C-Suite level within financial institutions

  • Self-motivated, independent person with integrity and discretion

  • Team player and able to work well with multiple stakeholders and build rapport in a fast-paced environment

  • High level of integrity, independent and committed with high level of initiative

  • Strong interpersonal skills and ability to interact with senior management and external stakeholders professionally.

  • Strong written and verbal communication skills.

  • Excellent organizational and time-management skills.
