Executive / Senior Executive (Events & Operations Support)

Responsibilities

The Executive / Senior Executive will provide operational, events, and logistics support to the Deputy Director (DD) in the day-to-day management of co11ab’s operations, as directed by the DD. The role focuses primarily on supporting the planning, coordination, and execution of events, programmes, and ecosystem activities, as well as ensuring the operational readiness of shared administrative duties.

  • Support the planning, coordination, and on-site execution of co11ab-organised events, programmes, workshops, networking sessions, and partner activities.

  • Coordinate event logistics including venue setup, registration, audio-visual requirements, catering, signage, and post-event teardown.

  • Liaise with internal teams, vendors, speakers, and partners to ensure smooth delivery of events and programmes.

  • Prepare event-related materials such as marketing collaterals, registration lists, name tags, welcome packs, and signage.

  • Provide on-site operational and logistical support during events to ensure a positive experience for members, partners, and visitors.

  • Support post-event activities including attendance tracking, feedback collection, and basic reporting.

  • Support basic social media, specifically LinkedIn updates, related to co11ab events, programmes, and community activities based on approved content.

  • Draft, schedule, and coordinate simple LinkedIn posts (e.g. event announcements, reminders, and post-event highlights), working with internal teams on visuals and details.

  • Coordinate logistics for office and event-related supplies, including stationery, pantry items, consumables, and collaterals.

  • Arrange local and overseas courier services and manage incoming and outgoing mail distribution.

  • Support onboarding logistics for new staff and members, including preparation of workstations and welcome packs.

  • Support offboarding and exit clearance logistics for staff and members, where required.

  • Maintain and update administrative records and filing systems such as contacts, agreements, procurement documents, and quotations.

  • Provide member and visitor support primarily during events, meetings, and scheduled activities, including guidance on the use of facilities and services.

  • Other ad-hoc duties as assigned by the DD.

Educational Qualification(s)

  • A Polytechnic Diploma or Bachelor’s degree in Marketing, Communications, Business, Management, or a related discipline.

  • Candidates with other relevant qualifications may be considered if they demonstrate appropriate experience in event support, programme coordination, or ecosystem-related roles.

Knowledge Required

  • Good understanding of, or hands-on experience in supporting marketing and communications activities, including event publicity, stakeholder outreach, and programme visibility.

  • Working knowledge of social media platforms (e.g. LinkedIn, Instagram, newsletters, websites) for programme promotion, announcements, and post-event engagement.

  • Familiarity with content coordination such as liaising with designers, vendors, or internal teams to support marketing materials (e.g. EDMs, social posts, simple collaterals).

  • Understanding of how marketing and communications support ecosystem building, community engagement, and programme objectives.

  • Awareness of branding, tone, and basic messaging alignment when representing organisational or programme initiatives.

Relevant Experience

  • 2–3 years of relevant experience in supporting events, programmes, ecosystem initiatives, marketing, communications, or operations roles.

  • Experience may be gained from corporate, public sector, startup, innovation ecosystem, or agency environments.

  • Fresh graduates with relevant internship, traineeship, or project-based experience in events support, marketing/communications, community building, or programme coordination are welcome to apply.

  • Prior exposure to supporting events, workshops, or ecosystem programmes, including coordination of logistics, communications, and stakeholder engagement, will be an advantage.

  • Experience supporting marketing, communications, or social media activities (e.g. content coordination, post-event publicity, outreach support) is desirable.

Skills & Competencies

  • Ability to support marketing and communications efforts across events, programmes, and partnerships.

  • Basic content planning and coordination skills, including scheduling and follow-up for social media posts.

  • Clear written communication skills suitable for professional and public-facing contexts.

  • Attention to detail to ensure consistency in messaging, branding, and information shared externally.
