Job Purpose
To ensure that the assigned roles are completed in a timely and accurate manner to facilitate monthly closing of accounts for the entities under Singapore office.
Duties and Responsibilities
- Issue sales invoices accurately and timely using the in-house Warehouse Management System (WMS).
- Manage appointment-related invoicing by ensuring Local Purchase Orders (LPOs) are created in OpticLPA and successfully interfaced to the Unit4 accounting system.
- Process non-appointment-related invoices by manually posting transactions into the Unit4 accounting system.
- Perform daily reconciliations between the Unit4 accounting system and the in-house Warehouse Management System to ensure data accuracy and completeness.
- Perform intercompany checks and balances to ensure accuracy, completeness, and timely reconciliation of all intercompany transactions.
- Prepare and submit bi-weekly reports to the Finance Manager and Logistics Manager covering revenue and cost postings in Unit4.
- Update foreign exchange rates daily in the in-house Warehouse Management System.
- Assist in the creation and maintenance of new Principal and Supplier master codes in ZOHO for logistics sector.
- Generate monthly AR and AP ageing reports for management review.
- Support variance analysis between actuals, budget, and forecasts.
- Support ad-hoc tasks, projects, and initiatives as assigned by management.
- Assist in system enhancements, testing, or process improvements related to finance and logistics operations.
Knowledge - Diploma in Finance or Accountancy
- At least 2-4 years’ experience in financial accounting and AR collection
- Speak, understand & communicate in English well
- Knowledge of Shipping Agency business / industry.
Skills - Good communication skills and a good command of the local language and English (oral and written) to liaise with associates in the regional office and other colleagues
- Good analytical skills with strong attention to detail. Must be meticulous.
- Computer literate, MS Office
- Able to work independently as well as being a proactive team member.
Experience - Experience in Accounts Receivable/collection processes
- Experience in working in a multi-national, multi- cultural organization
- Preferred Logistics background.
