About the Role

Responsible for smooth administration of training programs, including participant registration, attendance tracking, and logistics coordination. Supports training operations through timely invoice processing, accurate documentation, and audit‑ready filing. Assists in planning and executing learning initiatives and employee engagement activities to enhance the overall employee experience.

Position Objectives:

  • Responsible for smooth end-to-end administration of training programs by handling participant registration, maintaining accurate attendance records, and coordinating logistics to support effective learning delivery.

  • Support training operations by processing training-related invoices promptly, maintaining up‑to‑date training documents, and ensuring proper filing and tracking for audit readiness and process accuracy.

  • Contribute to a positive employee experience by assisting in the planning, coordination, and execution of learning activities and employee engagement events.

Responsibilities include, but are not limited to, the following:

1. Training Events Management, Coordination & Registration

  • Manage training enrolment, attendance tracking, and learner communication with minimal supervision.

  • Independently handle end-to-end logistics for virtual and in‑person sessions (venue, materials, trainers, setup).

  • Organise the monthly New Employee Orientation Program (NEOP).

  • Ensure accuracy and timeliness of data updates in Workday and other internal systems.

2. Invoicing & Documentation Management

  • Process invoices, vendor billing, and cost tracking with accuracy and compliance.

  • Proactively maintain up‑to‑date training records, course folders, SOPs, and shared documents.

  • Identify minor process gaps and propose improvements to streamline administration.

3. Lead or Support Learning & Employee Events

  • Assist in planning and execution of employee learning programs, engagement activities, and Human Resources events.

  • Provide reliable on‑site support during workshops, townhalls, and cultural events.

  • Coordinate with vendors and internal stakeholders to ensure smooth event execution.

Qualification

  • Diploma-level and above

Additional Information

  • This role is ideal for candidates with approximately 1–3 years of experience in Human Resources, Learning and Development coordination, or administrative roles. 

  • The position requires someone comfortable working independently on routine tasks while supporting more complex learning and event initiatives as part of the Human Resources team.
